01

Record the starting point

Summarize the opportunity, your objective and the facts confirmed so far. Include the source of important information so later conversations can distinguish evidence from an initial assumption.

02

Capture the open questions

Keep a short list of unresolved issues with a named person or next action. Prioritize questions affecting the route comparison or a practical commitment under consideration.

03

Note why decisions were made

Record what information supported a planning choice and what remained uncertain. Avoid presenting a provisional preference as an eligibility conclusion or a guarantee that later steps will succeed.

04

Update the current version

When the proposal changes, revise the summary and identify which earlier decisions need review. Use the current account for follow-up so participants are working from the same facts.

A LITTLE CLARITY GOES A LONG WAY.

YOUR FUTURE.
NOW BOARDING.

Use the preparation prompts to create a short planning note you can update. Bring its main question to the consultation; a clear summary is more useful than an unexplained history of messages.

BEFORE THE BIG MOVE

LET’S CLEAR
A FEW THINGS UP.

How detailed should my planning notes be?

Keep enough detail to explain the opportunity, confirmed facts, open questions and next decision. Include who supplied important information and when it changed. The notes are a coordination aid, not an application or legal opinion. A short, current summary is usually easier to discuss than a large collection of unorganized messages.

Should I record assumptions as well as confirmed facts?

Yes, but label them clearly. An assumed start date, business term or family arrangement can influence later decisions even when nobody has confirmed it. Keeping assumptions visible makes it easier to identify what needs checking and prevents a provisional idea from becoming an accepted fact simply through repetition.

How can notes help if we switch to a different opportunity?

They show which goals and facts remain relevant and which belonged only to the earlier proposal. Use them to explain why the direction changed and what is now being considered. A different opportunity still needs its own assessment; previous preparation should be reviewed rather than carried over automatically.

Should I paste the whole decision record into the enquiry form?

No. Send a brief description of the current opportunity and the question you want to address. Keep personal, company and financial details out of the public enquiry. The consultation can identify which parts of your notes would be useful to discuss and whether any further information is needed.
