How should fitout and visa timing be coordinated?

THE DIRECT ANSWER

Track site access, contractor work, required approvals and immigration steps as separate dependencies. A contractor’s completion estimate does not guarantee that the investor will be authorized to begin operations on that date.

Budget for sequencing changes

Identify who can lawfully supervise work and which expenses continue if the launch moves. Before submission, explain progress and remaining requirements with actual records. Keep the financial projections consistent with the latest premises schedule.

If a lease begins well before a decision, review the commercial consequences independently rather than assuming immigration processing will protect the investor from ongoing obligations. Ask each party for its own date and keep those dates attributed. The landlord’s completion date, the equipment supplier’s delivery date, the contractor’s fit-out date and any approval date come from different organisations with different incentives.

One consolidated launch date hides which of them moved. Decide now who may lawfully act during the gap before the investor is authorized to work in the United States. Someone must accept deliveries, instruct the contractor and sign for completed work.

If that person is an employee, an agent or a family member, record the arrangement instead of leaving a period in which the file implies the investor was operating. Revisit the financial forecast whenever a date moves, because occupancy costs continue while revenue does not.
