Keeping the final TN file and admission record connected

THE SHORT ANSWER

An organized preparation file remains useful after travel. Keep the final supporting documents available and review the admission record that results from entry. The record should be understood on its own terms; a planned employment duration or a passport’s expiry does not substitute for checking the actual admission details. When something in the arrangement moves — the employer’s name, the worksite, the supervisor, the length of the assignment — the file and the record drift apart quietly. The working discipline is to date every version, hold superseded copies outside the travel folder, and treat each change as a question about what the record should now say rather than as an administrative detail.

01

Carry the agreed final version

Confirm which supporting documents are appropriate for the procedure being used and keep the final set accessible. Avoid mixing superseded employer drafts into the active packet. If facts change before travel, obtain review rather than relying on a letter that no longer describes the proposed work accurately.

02

Check the issued record promptly

Review the I-94 record after admission, including identity details, classification and admitted-until date. Compare it with what actually occurred, not simply with an expected duration. Preserve a copy with the travel date so later planning does not depend on an old or misunderstood record.

03

Treat discrepancies as a follow-up task

If something appears wrong, use the appropriate official channel and obtain advice where necessary. Keep a factual note of the discrepancy and supporting records. Do not alter the record yourself or assume an employer letter corrects it; the appropriate response depends on the issue and the authority responsible.

04

Re-date the file whenever a fact moves

Treat the packet as a dated set rather than a permanent one. Each time an employer amends the letter, a credential arrives, or an assignment term is renegotiated, note what changed, when, and who authorised it, then retire the previous version into an archive folder. Hypothetical example: a physicist accepts a research role, the employer restructures the group and changes the reporting line two weeks before travel, and the letter still names a supervisor who has moved on. Where a change touches the listed profession, the qualifications relied on, or the temporary purpose of the assignment, ask counsel before departure instead of explaining the difference at inspection.

05

Reconcile the record with what actually happened

Reconciling after admission catches the changes nobody announced. Compare the I-94 with the packet as it stood on the travel date rather than as it stood when drafting began, and note any difference in classification, identity details or the admitted-until date. Should the assignment later shorten, extend or move to another employer inside the group, the existing record does not adjust itself, and employment for a different employer is a separate arrangement rather than a continuation. Keep each admission record paired with the version of the file that supported it, so a question two years from now can be answered from documents instead of memory.
