Organizing a TN document file around the proposed professional work

USAvisa field guide · 3 minute readReviewed 7 September 2026
THE SHORT ANSWER

A useful TN file connects citizenship, the proposed professional activity and the applicant’s qualifications. Begin with the actual job rather than a generic attachment list. The documents should let a reviewer trace each important statement to supporting evidence and identify unresolved questions before the applicable application or admission procedure. Files fail in predictable ways, and most of the failures are visible before anyone travels. A duty statement written to impress rather than to describe, an evaluation ordered before the profession was settled, a signature block naming an entity that is not the employer, or a bundle so long that the qualifying facts are buried — each of these can cost an applicant the trip. Read the file for what a skeptical stranger would question first.

01

Start with the employer’s account

Collect an accurate description of the professional work and employment terms from the U.S. employer. Compare it with the offer and any supporting project information. A familiar job title does not replace an assessment of the duties and the relevant USMCA profession, and the letter should describe the real arrangement.

02

Connect credentials to the profession

Organize citizenship evidence and the academic or other professional records relevant to the proposed classification. Identify credential gaps for review rather than assuming experience always replaces a listed qualification. Keep supporting explanations next to the record they explain, especially where a title or program name is unfamiliar.

03

Finish with a procedure-specific review

Confirm the applicable process and current instructions for the applicant’s citizenship and circumstances. Review the final signed documents together, including any relevant immigration history. Keep a reliable copy of the completed file and check the resulting admission record after entry; document readiness itself is not an approval.

04

The four failures a reviewer notices first

Weak files usually share the same defects. A letter that lists impressive-sounding responsibilities without saying what the person will actually do each week leaves the profession match unproven. An academic evaluation obtained before the profession was chosen may answer the wrong question entirely, and paying for it twice is the least of the consequences. A letter signed by a parent company, staffing agency or client rather than the employing entity invites a question about who the employer really is — and about whether the arrangement is employment at all, since TN does not permit self-employment. A file padded with certificates, references and marketing material makes the qualifying evidence harder to find. Every one of these is fixable while the offer is still being drafted.

05

Unwinding a file built on the wrong assumption

Recovery is possible, but it is slower than preparation. Hypothetical example: A lawyer assembles a TN file around a law degree and a bar membership, while the U.S. offer describes contract administration and vendor negotiation rather than the practice of law. The credentials are impeccable and the match is still unproven, because the profession is established by the work as much as by the qualification. Fixing it means going back to the employer for an accurate description, and if the accurate description does not fit the listed profession, the honest conclusion is that this route does not fit this job. The cost of that conversation before travel is a delayed start; after a refusal at the border it can include a cancelled move and a record of the attempt.
