Which records help prove the qualifying foreign year?

THE DIRECT ANSWER

Combine employment letters and payroll with a chronology of work locations, roles and travel. Use supporting tax, personnel or company records where appropriate to explain continuity and the duties actually performed.

Explain mismatches instead of hiding them

If a title changed before the duties did, document the real transition. If payroll came from another group company, explain the arrangement and employer relationship. Missing passport stamps need not be replaced by guesses; gather other reliable travel records and flag remaining uncertainty.

The purpose is a coherent factual history that allows counsel to apply the relevant foreign-employment rules. Use records that fix dates rather than describe them, and expect to explain the mismatches rather than hoping they go unnoticed. Employment agreements, payroll registers, tax filings, benefit enrolments and pension records establish the frame.

Passport stamps, travel itineraries and any admission records establish presence. Duty descriptions, appraisals and work products establish capacity. Where these disagree — a contract dated after the payroll start, a role change never documented, a corporate name that differs between systems — set out the discrepancy and the explanation.

Employers frequently find their own records inconsistent on examination, and that is unremarkable; what causes difficulty is a file presenting a clean account that the underlying documents do not support. Resolve which record is authoritative and say why.
